Learning Support Assistant

The responsibility for this position is to carry out duties in Student Learning Support across all programs/campuses offered at VIT, both Higher education and VET. The incumbent is expected to ensure policies and procedures of the Institution are implemented.
As Learning Support Assistant, the main purpose of this position is to plan, deliver, and execute effectively the course progress activities of all offerings across Further Ed and Further Eds stake holders.
The position, duties and responsibilities listed here can be varied from time to time by the CEO or authorized delegate to align with organizational goals, operational needs and changing market conditions.

KEY RESULTS AREAS AND RESPONSIBILITIES:
Assist in the planning, delivery, and execution of course progress activities across all programs and campuses with students from diverse cultural background including international students.
Assist with the coordination of student progress and related services, including managing complex student enquiries and cases to resolution whilst ensuring consistency with institution policy, procedures, and relevant legislation
Support the coordination and management of At Risk/show cause and preclusion activities across the programs and campuses, including meeting with students and interpreting and providing advice on the application of relevant policies and appeals processes.
Assist in coordinating with key areas of the institution across all campuses including Higher Education (HE) and VET coordinators (eg English coordinator, Course Coordinator, etc), Academic staff, Support Staff LMS team, IT, Campus Deans and other areas.
Help develop ongoing action plans for students in need of extra learning support.
Providing executive assistance to student progress related committees as required. This includes preparation of correspondence, reports, briefing documents and discussion papers, and taking follow-up actions as required.
Contributing to ongoing improvements of business processes and operational goals including reviews and assisting in the development and implementation of procedures, processes, training packages and support tools
Deal with multi facet, multi-cultural staff and students
Ensure accurate and efficient records management
Effectively use as required for recording or managing records in the Student Management Systems and PRISMS.
Competencies in dealing with work requiring attention to detail.
Provide regular reports (weekly and monthly) to CEO, department heads and nominated senior managers on Monitoring Course Progress that includes proactive and follow up actions on preventive and early interventions and actions taken on all notices to affected students.
Other professional duties as assigned by the Executive Dean, Discipline Head and/or Director of Compliance
Primary Skills
Good understanding of student academic progression related issues and proven experience in working with students form diverse cultural backgrounds including international students.
High level of proficiency in computer usage including Microsoft Word, Excel, and Access, Windows operating systems and Student and other Administration system
Ability to quickly learn and use bespoke IT systems including CRM and Student management systems.
Tertiary qualification and/or experience in a busy administrative/customer service role within an education environment.
Ability to work independently, as well as part of a supportive team environment
Demonstrated strong interpersonal skills including the ability to deal effectively with clients by phone, e-mail and in person.
Strong written and verbal communication skills with the ability to interact effectively at all levels across the organisation.
High level organisational, planning, and analytical skills, including excellent attention to detail and ability to prepare meaningful and detailed reports and submissions.
Understanding of and ability to work within an academic environment
Ability to prioritise and organise work demands
Good knowledge of academic related administration in a vocational and/or higher education set up is advantageous
Demonstrated ability to exercise initiative and independent judgement, establish and manage competing priorities and complex workflows
Proficiency in the student’s life cycle both in administration and management, enhancement of students’ engagement, resource control and management
Friendly, professional attitude, commitment and integrity, always willing to deliver a high standard
Knowledge of faculty regulations and policies relating to student administration functions as well as University services
The ability to prioritise and work efficiently and accurately in times of high pressure
Ability to work unsupervised and independently
Knowledge
Knowledge of vocational and/or higher education administrative business processes and the ability to interpret and apply relevant policies and procedures, would be an advantage.
Travel
Inter-campus travel (Interstate and/or intrastate) at short notice and as directed by the CEO, Executive Dean or delegate
