The Opportunity

Reporting to the Head of Student Lifecycle and Operations, the Student Lifecycle and Compliance Administrator will support students from enquiry and admission through to enrolment, progression and completion. The role has a strong focus on maintaining accurate records, verifying required documentation, following up compliance gaps and supporting controlled evidence management.

The role works across approved systems including student management, Canvas, InPlace and related platforms. It is an administrative role with clear decision boundaries. Academic decisions, special consideration, extensions, academic integrity matters, grade appeals, support case management and placement competence decisions remain with delegated academic, clinical or support staff.

What you will do:

You will:

  • respond professionally to prospective student enquiries and support the application and admissions process

  • assist with application processing, document collection and records maintenance

  • coordinate student enrolment records and lifecycle updates using approved source information

  • verify pre-placement, enrolment and compliance documentation

  • follow up missing or incomplete student compliance requirements

  • maintain accurate records across approved student systems

  • assemble controlled evidence packs and documentation links for authorised decision-makers

  • produce routine reports on document completion, compliance gaps, record inconsistencies and workflow bottlenecks

  • identify recurring records or compliance issues and recommend improvements to checklists, templates and processes

  • Liaise with academic teams, marketing, and student services to support admissions processes

  • Assist in coordinating admissions-related and other ISN events as required (e.g. information sessions, open days, on campus days, graduation).

  • Provide practical or administrative support as requested to support operations

  • use approved AI tools only within role scope, privacy requirements and human-review expectations.

What we are looking for

You will bring:

  • strong administrative, organisational and records management capability

  • high attention to detail and a disciplined approach to data quality

  • experience maintaining student, compliance, lifecycle or operational records

  • experience using student systems, CRM, LMS, InPlace or comparable platforms

  • sound judgement when handling confidential or sensitive information

  • a professional, approachable and service-focused manner

  • practical AI literacy, including safe use, privacy awareness, de-identified analysis and human review

  • the ability to identify and escalate matters requiring academic, clinical, support or policy judgement.

Experience in higher education, student lifecycle administration, WIL, placement administration, compliance, Microsoft 365, SharePoint, Forms, Lists, Power Automate or audit-ready evidence preparation will be well regarded.

Location and employment

  • The role is based in Kew, Victoria, with some travel to other ISN Melbourne locations as required

  • Full-time 1.0 FTE

  • HEW 5 under the Higher Education Industry – General Staff - Award 2020, subject to contract and classification confirmation.

  • Appointment is subject to satisfactory working rights, Working with Children Check and National Police Record Check.
